Overview

ScanToExcel is committed to protecting your privacy. We do not store your uploaded images or output files.

Data is processed in real-time and immediately discarded after conversion. This policy explains exactly how we handle your data when you use our service.

Data We Don't Store

We do NOT store:

• Uploaded document or table images (receipts, bank statements, invoices, credit card statements, paystubs, or images of tables)
• Financial information or table data extracted from your documents
• Account numbers, transaction details, or personal financial data
• Generated export files (Excel, CSV, PDF, Word, JSON, or XML)

Data Processing

When you upload a financial document or table image:

• The document or table is sent to our AI processing service for analysis
• Our AI extracts the relevant structured data based on the document type
• The extracted data is converted to your chosen format and sent directly to your browser
• After processing (typically under 3 seconds), the uploaded image, extracted data, and generated file are permanently discarded from our servers

Note: We use Google Gemini AI to process your documents. Your data is processed securely with enterprise-grade encryption and discarded immediately after conversion. We never retain financial information, account numbers, transaction details, or any personal data from your documents.

Rate Limiting

We use browser fingerprinting to enforce our daily conversion limit (10 conversions per day for anonymous users). This is used solely for rate limiting purposes and cannot identify you personally.

Accounts and Subscriptions

ScanToExcel offers three tiers:

• Free (No Account): 10 conversions per day. No data stored. Completely anonymous.
• Free+ (Account Required): 20 conversions per day. Requires signing up with email or OAuth.
• Premium (Paid Subscription): Unlimited conversions. Requires account and payment information.

Your account data is used solely to manage your subscription and provide customer support. We continue to never store or log any of your uploaded documents or converted files, regardless of your subscription tier.

Anonymous Usage Statistics

We track the total number of documents processed through our service as an aggregate count. This counter:

• Records only that a conversion occurred - no document content is ever stored or logged
• Is completely anonymous and cannot be linked to any individual user
• Is used solely to display social proof on our website
• Contains no personal information, file names, or document data

Cookies and Tracking

Our website uses minimal cookies only for authentication purposes if you create an account. We do not use cookies for advertising, tracking, or analytics. We may implement privacy-respecting analytics in the future and will update this policy accordingly.

GDPR Compliance

ScanToExcel is fully compliant with the EU General Data Protection Regulation (GDPR). When creating an account, you must explicitly consent to our data processing practices.

If you sign up using Google or GitHub OAuth, you will also be asked to confirm GDPR consent before your account is created.

Your Rights

You have the right to:

• Access: Request a copy of any personal data we hold about you
• Rectification: Request correction of any inaccurate personal data
• Erasure: Request deletion of your account and all associated data
• Portability: Request your data in a portable format

To exercise any of these rights, contact us at contact@scantoexcel.com or use the "Delete My Data" option in your account settings. We will process your request within 30 days.

If you use ScanToExcel without an account, there is no personal data to access, correct, or delete - your document data exists only during the brief processing period and is automatically discarded.

Changes to This Policy

We may update this privacy policy from time to time. Any changes will be posted on this page with an updated revision date. For significant changes, we will notify registered users via email.
