The standard Excel export uses one Lines sheet. Invoice details repeat beside each item, depending on what is present and readable.

Invoice number, issue and due dates, sender, receiver, currency, and source filename identify where each row belongs.

Descriptions, quantities, units, unit prices, line totals, and available tax information help you review itemized goods and services.
Why extra rows can appear
Discounts and withholdings can appear as negative adjustments. Tax may have its own row when it is not already included in line prices. The row_type column separates lines from adjustments. Review both before filtering or totaling the file.

Use Excel or CSV to filter items and compare invoices. Standard Word output uses a line-item table. Invoice identifiers repeat on each row.

Review account codes, tax types, and any fallback values before import. This is not a supplier-bill import or a direct connection to Xero.
Review the details that matter
Parties and invoice identity
Confirm who issued the invoice, who was billed, and the invoice number before grouping supplier or customer documents.
Dates and payment context
Check the issue date and due date separately. A due date does not tell you whether an invoice is still unpaid.
Amounts and tax treatment
Compare quantities, prices, discounts, tax-inclusive amounts, withholdings, and totals with the original. A matching total does not prove every item is correct.
Keep all pages of each invoice together. Before combining files, check the supplier and invoice number for duplicates.

Invoice conversion questions
Where do addresses and payment terms appear
The detailed layout includes party addresses, tax identifiers, payment terms, and purchase-order information where extracted. JSON also retains structured document fields. The standard Lines sheet contains a smaller selection.
Can I combine several invoices
Premium can merge separate invoice results into flat Excel, CSV, Word, or Xero CSV. Add at least two files and enable Flat and Merge. Detailed layouts and JSON cannot be merged.
Can one PDF contain several invoices
Keep the pages of a single invoice in one PDF. The invoice workflow treats each uploaded file as one invoice; it does not offer automatic separation of unrelated invoices bundled together. Prepare separate files for those invoices.
Can I export invoices for accounting software
Premium offers Xero CSV for sales invoices, using the receiver as the customer. Review the file and required accounting fields before import. ScanToExcel does not currently offer QuickBooks CSV for invoices.
How does free invoice conversion work
Free and Free+ each allow 5 PDF pages or images per day. Upload batches are limited to 1 file on Free, 5 on Free+, and 50 on Premium. Each PDF page counts toward your allowance, so a multi-page invoice uses more than one unit.
What happens to uploaded invoice data
Invoice extraction uses an AI processing provider. Optional email delivery also uses an email provider and leaves a copy in your mailbox. Account records and diagnostic logs can persist.
