How ScanToExcel works

From upload to editable data

1. Upload and choose the document type

   Select a PDF, JPG, PNG, HEIC, HEIF, TIFF, or WebP file. Choose the matching document type so the extraction uses the right structure.

   Free use includes five allowance units per day. Each PDF page uses one unit; each image file uses one. See plans and limits

2. Extract the document data

   AI reads and structures the document for the selected type. Some information may be missed, calculated, or inferred, so corrections can be needed.

3. Download and review the result

   Download your chosen format and compare it with the source. A free account or Premium also enables optional email delivery; Premium can package batch results in a ZIP.

Receipts

Purchases with merchant details, line items, and available totals.

Invoices

Invoice references, parties, itemized charges, and available tax details.

Bank statements

Account transactions with statement and account context.

Credit-card statements

Purchases, payments, refunds, and other extracted card activity.

Paystubs

Sectioned earnings and deductions with current-period and year-to-date amounts.

PDF tables

An editable grid of extracted headings, rows, and cell values.

Excel (.xlsx)

Editable spreadsheets for reviewing and working with the extracted data.

CSV

Text-based data exchange. The structure varies by document type and may need preparation before import.

Word (.docx)

Editable document tables for reports or further editing.

JSON

Processed structured data for use in your own software.

Premium offers Xero CSV for receipts, invoices, bank statements, and credit-card statements, plus QuickBooks CSV for bank and credit-card statements. These target bill, sales-invoice, or bank-transaction imports as applicable. Check the destination and required account or tax mappings before importing.

Layouts and merging depend on document type and plan. Paystubs and PDF tables use one layout with separate results; neither offers merging or accounting CSVs.

Review the exported file

Compare values, dates, and document context with the original, including missing or inferred information. Check the layout and destination requirements before calculating or importing. An editable export does not certify accuracy.

What happens to uploaded data

Extraction uses an AI processing provider. Optional email delivery also uses an email provider and leaves a copy in your mailbox. Account records and diagnostic logs can persist. See our privacy policy for details.
