By accessing and using ScanToExcel, you agree to be bound by these Terms of Service. If you do not agree to these terms, please do not use our service.

Service Description

ScanToExcel is an online service that converts financial documents and tables (receipts, invoices, bank and credit card statements, paystubs, and table images) and exports them to multiple formats (Excel, CSV, Word, PDF, XML, JSON) using AI technology. We support scanned PDFs, text PDFs, multi-page PDFs, JPG, PNG, HEIC, WebP and more. The service is provided "as is" without warranties of any kind.

Account Tiers and Usage Limits

ScanToExcel offers the following account tiers:

Premium subscribers receive access to our enhanced AI model which provides improved accuracy for complex documents.

Data Handling

We are committed to your privacy and data security:

• Uploaded documents are processed in memory and immediately deleted after conversion
• We do not store, analyze, or retain any content from your documents
• Documents are never used to train AI models or shared with third parties
• The only data we store for registered users is email address (for authentication) and subscription status (if applicable)
• We collect anonymous usage statistics (conversion counts) to improve our service

Prohibited Activities

You agree not to:

• Abuse or overload our servers
• Use the service for any illegal or unauthorized purpose
• Attempt to reverse engineer or hack the service
• Upload content that violates others' rights or privacy
• Use automated tools to circumvent rate limits
• Share or resell access to your Premium subscription
• Upload malicious files or attempt to exploit the service

Intellectual Property

You retain all rights to your uploaded content. We do not claim ownership of your financial documents, tables, images, or the generated exported files. The ScanToExcel name, logo, and service are our intellectual property.

Subscriptions and Payments

For Premium subscribers:

• Payments are processed securely through Stripe
• Subscriptions renew automatically until canceled
• You can cancel your subscription at any time from your account settings
• Upon cancellation, you retain Premium access until the end of your current billing period
• After your billing period ends, your account reverts to Free+ tier (20 conversions/day)
• Refunds are handled on a case-by-case basis; contact us within 7 days of purchase for refund requests

GDPR Compliance

For users in the European Union, we comply with the General Data Protection Regulation (GDPR):

• Right to Access: You can request a copy of all data we hold about you
• Right to Rectification: You can request correction of inaccurate data
• Right to Erasure: You can request deletion of your account and all associated data
• Right to Data Portability: You can request your data in a machine-readable format
• Right to Object: You can object to processing of your data for certain purposes

Disclaimer of Warranties

ScanToExcel is provided "as is" and "as available" without warranties of any kind. We do not guarantee:

• 100% accuracy in OCR results
• Uninterrupted service availability
• That the service will meet your specific requirements
• That all document formats or languages will be supported

Limitation of Liability

ScanToExcel shall not be liable for any direct, indirect, incidental, special, or consequential damages resulting from your use or inability to use the service, including but not limited to data loss, business interruption, or inaccurate conversions. Always verify converted data for accuracy before use in critical applications.

Service Modifications

We reserve the right to modify, suspend, or discontinue any part of the service at any time. This includes changes to pricing, features, or usage limits. We will provide reasonable notice for significant changes that affect paid subscribers.

Termination

We reserve the right to terminate or restrict access to the service for users who:

• Violate these Terms of Service
• Abuse the service or other users
• Engage in fraudulent activity
• Attempt to circumvent security measures or rate limits

If your account is terminated for violation of these terms, you may not be eligible for a refund of any prepaid subscription fees.

Changes to These Terms

We may update these Terms of Service periodically. Significant changes will be communicated via email to registered users or through a notice on our website. Continued use of the service after changes constitutes acceptance of the updated terms.
